User & Vendor Management

Users & Vendors


In the User Management section, you can add, edit, and manage all users and vendors within Kohost. This includes assigning roles, updating access permissions, and ensuring the right people have the right level of control.


Roles:


Administrators 

Full system control. Add/remove users, configure settings, manage routing, and handle all integrations.


Managers

Oversee their department/team. Manage, assign, reassign, and resolve tickets. Ensure operations and workflows run efficiently within their scope.


Agents

Frontline fixers. Handle assigned work orders, respond to maintenance issues, and complete tasks using their Concierge permissions.


Users

End participants. Submit requests, receive updates, and interact with the system according to their permissions.


Adding a User:


  1. In your Kohost Homepage, choose Users tile.

  2. Click the green plus button in the bottom right and choose Add User.

  3. Fill out all relevant information and choose permissions based on property and assign a role.Email AND phone number are required.

  4. Select a Policy if you so choose.

  5. Click Save. They will now receive an invite.


Managing Policies:


  1. Within a User Setup flow, choose the blue Manage Policies button under Policies.

  2. Click the green plus button in the bottom right.

  3. Create a new Policy name, description, and choose what permissions are allowed.example: Security Team  Policy can be set up to have access to security systems without HVAC, Media, or Lighting control.

  4. Save the Policy and now easily assign to other users under the Permission Policies setup within the user.


Adding a Vendor:


  1. In your Kohost Homepage, choose Users tile.

  2. Click the green plus button in the bottom right and choose Add Vendor.

  3. Fill out all relevant information.Email AND phone number are required.

  4. Click Save.

  5. You can now automatically route or manually reassign tickets to Vendors within Concierge.
